Yoga & Meditation Retreat Terms & Conditions
Booking & Deposit
A booking is confirmed when your $500 deposit is received. The deposit is non-refundable, except where otherwise required by Australian Consumer Law.
The deposit secures your place on the retreat and enables us to reserve your accommodation and make other arrangements on your behalf.
Guests are required to obtain appropriate travel insurance within 14 days of booking and provide evidence of cover to Total Balance Group Pty Ltd if requested. Your insurance should cover medical expenses, retreat activities, trip cancellation, personal emergencies and other circumstances that may prevent you from attending.
Guests must be at least 18 years of age to attend. Guests under 18 may only attend if accompanied by a guardian aged 18 or over and with prior approval from Total Balance Group Pty Ltd.
Payment Policy
Retreat fees must be paid by direct bank transfer or credit card by the due dates specified at the time of booking.
Full payment is required at least 90 days before the retreat commencement date.
For bookings made within 90 days of the retreat commencement date, full payment is required at the time of booking.
If payment is not received by the due date, Total Balance Group Pty Ltd will contact the guest to request payment. If payment is not subsequently received, or we are unable to obtain confirmation from the guest within the timeframe specified in our follow-up correspondence, we reserve the right to cancel the booking and release the place to another guest.
Where a booking is cancelled because payment has not been received or the guest has failed to respond to requests for confirmation, the cancellation will be subject to the cancellation terms below, including the non-refundable deposit.
Guests are responsible for all additional costs not included in the retreat package, including flights, transfers, travel insurance, meals or activities outside the retreat program.
Cancellation Policy
Please read this policy carefully before making a reservation.
Cancellations more than 90 days before arrival
The $500 deposit is non-refundable, but may be transferred to another Total Balance retreat or to another guest if at least 90 days’ written notice is provided.
Where a guest cancels more than 90 days before arrival, 50% of the balance paid (excluding the deposit) may be refunded, provided the guest’s place can be filled by another guest.
Cancellations 90 days or less before arrival
Cancellations made 90 days or less before arrival are not eligible for a refund or transfer, except where otherwise required by Australian Consumer Law.
If a cancelled place is subsequently filled by another guest, Total Balance Group Pty Ltd may, at its discretion, provide a partial refund, taking into account costs already incurred. Any such refund is not guaranteed.
Late arrival, early departure and unforeseen circumstances
No refunds or credits are provided for late arrival, early departure, illness (including COVID-19), changes in personal circumstances or other unforeseen circumstances, except where otherwise required by Australian Consumer Law.
Guests who are unable to attend may request to transfer their place to another person. Any replacement guest must be approved by Total Balance Group Pty Ltd before attending and must meet all applicable booking and participation requirements.
Changes to the Retreat
Total Balance Group Pty Ltd reserves the right to change the retreat location or make reasonable changes to the retreat program where this is necessary due to unforeseen circumstances, such as third-party delays, construction, supplier issues or other circumstances beyond our reasonable control.
Where a change of location is necessary, equivalent standard accommodation will be provided wherever reasonably possible.
If circumstances arise that materially affect the delivery of the retreat, Total Balance Group Pty Ltd will communicate with guests as soon as reasonably practicable and will work to provide an appropriate alternative arrangement, subject to applicable consumer law.
Changes to These Terms
The terms and conditions that apply to a booking are those in effect when the booking is confirmed.
Total Balance Group Pty Ltd may update these terms for future bookings, but changes will not retrospectively alter the terms of an existing confirmed booking unless agreed with the guest or required by law.
Health & Wellbeing
Retreat activities are designed for general wellbeing, personal development and self-exploration. Guests are responsible for considering whether the retreat is suitable for their individual circumstances and for seeking appropriate professional advice where necessary.
The retreat may include activities such as yoga, meditation, breathwork, mindfulness and reflective or group-based practices. Some activities may involve physical movement, periods of stillness, emotional reflection or discussion of personal experiences.
Guests should inform Total Balance Group Pty Ltd before attending of any relevant health, medical or psychological circumstances that may affect their ability to participate safely in the retreat activities.
Guests are responsible for making appropriate decisions about their participation in individual activities and should advise the retreat facilitators if they need to modify, pause or discontinue an activity.
Total Balance Group Pty Ltd reserves the right to decline or discontinue a guest’s participation where it reasonably considers that participation may pose a significant risk to the guest or to others, or where the retreat is not an appropriate setting for the guest’s needs.
Duty of Care & Medical Disclaimer
Retreat facilitators are not acting as medical practitioners, psychologists, psychiatrists or other healthcare professionals.
The practices offered at the retreat, including yoga, meditation, breathwork, mindfulness and related wellbeing activities, are intended for general wellbeing and personal development. They are not a substitute for medical advice, diagnosis, psychological treatment or other professional healthcare.
Guests should seek advice from an appropriately qualified health professional regarding any medical or psychological condition before attending if they are unsure whether the retreat is suitable for them.
If a guest becomes unwell, injured or distressed during the retreat, facilitators will provide reasonable assistance within the scope of their role and, where appropriate, assist the guest to access emergency or professional medical support. Facilitators do not provide medical or psychiatric treatment.
Liability
To the extent permitted by law, Total Balance Group Pty Ltd is not responsible for loss, delay, damage, illness, injury, expense or other consequences arising from circumstances beyond its reasonable control, including natural disasters, fire, flooding, extreme weather, war, civil unrest, strikes, industrial action, pandemics, accidents, transport delays, supplier failure or significant problems affecting accommodation or other third-party services.
Guests are responsible for their own personal safety, belongings and decisions regarding participation in retreat activities.
To the extent permitted by law, Total Balance Group Pty Ltd accepts no liability for loss or damage to personal belongings or valuables. Guests are encouraged to take appropriate precautions and obtain suitable travel insurance.
Nothing in these terms is intended to exclude, restrict or modify any rights or remedies that cannot lawfully be excluded, restricted or modified under Australian Consumer Law or other applicable legislation.
Media Consent & Data Protection
Photographs and video may be taken during the retreat for promotional, educational or marketing purposes.
By attending the retreat, guests consent to the use of photographs or video in which they may appear for these purposes, unless they notify Total Balance Group Pty Ltd in writing before the retreat that they do not wish to be photographed or filmed.
Guests who do not wish to appear in promotional photography or video should advise us before the retreat begins, and we will take reasonable steps to respect that preference.
Personal information collected in connection with retreat bookings will be handled in accordance with our Privacy Policy and applicable privacy legislation.
